Position Summary The Junior Data Entry Clerk supports Accurate Indigenous Managers & Advisors (AIMA) by ensuring organizational information is entered, maintained, and managed accurately across multiple business systems. This position assists with administrative processes by organizing records, updating databases and financial systems, digitizing documentation, and supporting data integrity across Human Resources, Finance, Operations, and consulting projects. Working closely with multiple departments, the Junior Data Entry Clerk plays an important role in ensuring organizational information remains accurate, accessible, and secure. This position requires a dependable and accountable individual who can work independently, maintain a high degree of accuracy, and manage multiple priorities in a fast-paced environment. Key Responsibilities Data Entry & Database Maintenance Enter, update, and maintain information within organizational databases and software systems. Enter and maintain applicable information within QuickBooks and Sage 300 as assigned. Verify the accuracy and completeness of information before entry. Review records for inconsistencies, missing information, or duplicate entries. Correct data errors in accordance with established procedures. Maintain confidentiality while handling sensitive organizational information. Complete assigned data entry accurately and within established timelines. Document Management Scan, upload, and organize digital records. Maintain electronic and physical filing systems. Archive historical documentation in accordance with organizational procedures. Ensure documents are properly labelled, indexed, and stored for easy retrieval. Assist with records retention and document organization projects. Administrative Support Prepare spreadsheets, reports, and tracking documents. Assist with the creation and maintenance of templates and forms. Support administrative projects across multiple departments. Respond to internal requests for documentation and records. Assist with meeting preparation, document distribution, and filing. Independently manage assigned administrative and data-entry responsibilities within established deadlines. Information Quality & Reporting Perform routine quality checks on databases, financial systems, and spreadsheets. Identify incomplete, inaccurate, or outdated information. Generate routine reports and summaries as requested. Support leadership by providing organized and accurate information. Recommend opportunities to improve record-keeping processes. Promptly identify and escalate discrepancies or data-quality concerns that cannot be independently resolved. Cross-Department Support Assist Human Resources with employee documentation and personnel records. Support Finance with document organization, financial filing, and data entry. Assist Operations with project tracking and administrative documentation. Support consulting projects through accurate data collection and organization. Collaborate with staff across departments to maintain accurate organizational records. Authority & Decision-Making The Junior Data Entry Clerk is responsible for maintaining the accuracy, confidentiality, and integrity of organizational records while following established procedures. The position is expected to manage assigned responsibilities independently, take accountability for the accuracy and timely completion of work, identify discrepancies or missing information, and escalate matters requiring supervisory direction. Qualifications Required Minimum 2 years of relevant data entry, administrative, financial administration, or related office experience. High school diploma or equivalent. Demonstrated experience using QuickBooks is required. Demonstrated experience using Sage 300 is required. Minimum keyboarding speed of 50 words per minute (WPM) with a high degree of accuracy. Strong computer proficiency. Proficiency in Microsoft Office, including Word, Excel, Outlook, and Teams. Excellent keyboarding and data-entry accuracy. Strong organizational and time-management skills. High attention to detail and accuracy. Ability to work effectively in a fast-paced environment and manage multiple competing priorities. Ability to work independently with minimal supervision. Demonstrated dependability, accountability, and consistent follow-through. Ability to recognize errors and discrepancies and take appropriate corrective action or escalate concerns. Ability to manage confidential information professionally. Assets Certificate or diploma in Office Administration, Business Administration, Accounting, or a related field. Experience using Microsoft 365, SharePoint, or database management systems. Experience working with Indigenous organizations, consulting firms, or non-profit environments.
