About the role

Summit Motors is seeking a reliable and professional Front Desk Receptionist to join our team. This role is the first point of contact for our customers and plays a key role in keeping our daily operations running smoothly.

This position is primarily responsible for managing a high-volume switchboard, while also supporting administrative functions across multiple departments.

Key Responsibilities

Front Desk & Customer Service

  • Answer and manage all incoming telephone calls in a professional, friendly, and efficient manner

  • Take accurate, detailed messages and ensure prompt delivery to the appropriate staff member

  • Direct customer inquiries to the appropriate department or individual

  • Provide a positive first impression for all customers and visitors

Administrative Support

  • Provide administrative assistance to various departments as required

  • Type and prepare documents, correspondence, and forms

  • Assist with spreadsheet work and basic data entry

  • Retrieve and distribute emails from the general company inbox

Office Operations

  • Prepare outgoing mail and manage postage machine

  • Mail monthly statements

  • Maintain filing systems, including parts, service, and warranty invoices

  • Operate and maintain office equipment (computers, copiers, fax machines)

Accounts & Systems Support

  • Process customer payments (cash, credit card, and cheque)

  • Use internal systems (e.g. DSI) to locate customer accounts, print invoices, and access statements

General Office & Facility Support

  • Order and maintain office and coffee room supplies

  • Ensure common areas (front desk, counters, coffee areas) are clean and well-maintained

  • Prepare fresh coffee and maintain a welcoming front office environment
