Secretary Sport Medicine Service
Immediate supervisor: Manager Sport Medicine Service
Under the authority of the Manager Sport medicine Service, the Secretary Secretary Sport Medicine Service assumes the day-to-day management of daily needs, technical, operational and secretarial tasks and responsibilities related to the smooth operation of the Institut national du sport du Québec (INS Québec) Medical Clinic while offering its customers a high-quality and personalised service.
The Secretary Sport Medicine Service supports the Manager Sport Medicine Service and the clinic professionals in performing clerical tasks and carrying out the Clinic related activities. He shall proceed documents updates and data collection.
The main responsibilities related to the position are as follows:
Assisting the management in planning of sport medicine requirements in anticipation of the different activities of the Clinic and its team of specialists. Managing work schedules of all the Clinic professionals and conducting the necessary follow-ups. Ensure that all examination reports and consultation reports are on file for clients for their appointments. Follow up on athlete files with the various sports medical specialists. Scheduling and confirming appointments for athletes and training groups. Set and confirm appointments for athletes, training groups and coaches with the various stakeholders. Creating and classifying forms. Welcoming clients to the Clinic. Answering the phone, replying to emails and transferring the information to the concerned departments. Assisting the Clinic's management team in the invoicing process, in the stats tracking and performing any other administrative tasks. Making sure that office supplies and medical equipment and materials are always in stock. Assuming responsibility for the filing system.
Diploma of vocational studies or diploma of college studies in a relevant field. At least three (3) years' experience in a similar position. Availability on weekends and flexible schedules. Very good command of French and English.
Excellent knowledge of various office automation tools (Microsoft Office Suite). Ease with learning new computer software. Ease with the public and great communication skills. Great attention to details and ethics, worries about a job well done.

Workplace: Montreal (Olympic Park)
Working hours: Full time, 35-hour work week
Effective date: April 2021
Salary: An hourly salary starting at $20,58 /hour and a benefits program will be offered according to the candidate.
