Job Description

The Executive Assistant is a high profile position supporting the Regional Senior Vice President. The Executive Assistant contributes to the overall success of the organization by greeting and directing customers to the appropriate resource, taking and relaying branch messages, producing documents, reports and presentations, and providing general administrative support in an accurate and timely manner while adhering to Scotiabank's operational and security policies and procedures. The incumbent provides customer service in accordance with the Bank's service standards and complaint resolution procedures.

  Key Responsibilities


  • Ensures that service to customers contributes to their overall satisfaction and meets Scotiabank's service standards by performing the following duties:
  • Greet visitors in a courteous manner and escort or direct them to the appropriate employee.
  • Triage unscheduled or walk-in visitors.
  • Answer incoming calls in a prompt and professional manner, redirecting callers to the appropriate person or offering to take the message, or redirecting calls to the person's voice mailbox following department procedures.
  • Arranges conference calls.
  • Provide basic information to callers (hours of operation, address).
  • Responds to customer inquiries and forwards them to the appropriate people as needed.
  • Receive and sign for deliveries and arrange for courier service
  • Provide respectful and knowledgeable service to each customer, making them feel welcome and appreciated.
  • Ensure that the unit projects a professional image.
  • Provide administrative support to the branch team by performing the following:
  • Supporting the Regional Senior Vice President and the branch team in the delivery of client services; assisting with account maintenance, typing correspondence with clients and obtaining client statements.
  • File all Investor Services and Professional Banking documents on a daily basis.
  • Substitute for administrative managers (two) by scheduling appointments and meetings, and greeting and directing clients and employees to the appropriate resource as needed.
  • Reserve and stock conference rooms as needed.
  • Track, order and put away office supplies, arrange for off-site storage and handle destruction of files and records.
  • Audits and processes expense reports.
  • Writes letters and replies to routine correspondence.
