Job Description

We are currently looking to hire an Administrative Coordinator for a 6 month contract (with possibility of renewal), to provide administrative & clerical support to the Market Access & Patient Services departments.

Patient Support department:

  • Perform general office tasks
  • Coordinate mail returns.
  • Invoice management (validation & tracking)
  • Generate reports (excel) on various activities (i.e. end of the month report)
  • Maintain dept. activities documentation (i.e. electronic filing)
  • Provide admin. Support
  • Coordinate dept. meetings (generate agenda, minutes, activate closing of phone lines)
  • Order office supplies and subscriptions
  • Produce weekly time reports (H.R. report, team schedule
  • Follow up on internal/external postal requests. Register complaints received by mail + actions performed for resolution

Market Access department:

  • Complete HIP submissions with relevant documentations; filing of submissions, close out and proof of service on HIP platform
  • Submit documents in Veeva Vault for copy approval purposes;
  • Complete expense reports;
  • Performing check requisitions on Lotus Notes (for KOLs Honoraria and Patient Advocacy Groups support), and follow-up with Finances regarding the issuance of checks
  • Generate scanned copies or photocopies;
  • Complete contract summaries and send to legal department for archiving;
  • Support MA H:drive;
  • Schedule meetings and send invites;
  • Order luncheons for working meetings;
  • Invoicing: purchasing orders creation, submission of invoices to accounts
Qualifications
  • A High School Diploma is required; DEC / DEP preferred
  • 5 years’ experience in an Administrative support role. Customer Service experience is a definite asset.
  • Conveys great professionalism. Working bilingualism both French & English
  • Highly MS Office Proficient (Word/Excel/Power Point)
  • Superior ability to multi task and be self –reliant (professional autonomy)
  • Strong experience and ability to work within a team
  • Punctual and highly reliable
  • Ability to shift/change priorities when need be
  • High level of compliance to Privacy & Confidentiality of our Patient related information
