Position Summary

The incumbent is responsible for planning and organizing various day-to-day administrative tasks and providing support to members of the Human Resources team. Among other things, he or she will be responsible for day-to-day tasks such as monitoring audits, returning calls to government agencies, preparing letters and presentations and entering and retrieving data from different databases. The assistant will also have to file and print relevant documents. He or she will also be responsible for preparing shipments.

Key Accountabilities

  • Enter and extract data in various databases;
  • Prepare letters and fill out forms;
  • Transcribe notes for documents and presentations;
  • Send emails and faxes;
  • Return calls;
  • Print documents when required;
  • Organize events and meetings;
  • Prepare and send documents to stores (mailings);
  • Codify invoices;
  • File records or any other documents;
  • Any other administrative support required by the entire team, if needed.

Job Requirements

  • College diploma in administration or a related discipline;
  • Two (2) years of experience in a similar position;
  • Strong organizational skills, attention to detail and ability to produce various reports;
  • Resourcefulness and autonomy;
  • Ability to handle multiple requests in tight deadlines;
  • Proficiency of the Microsoft Office suite (Word, PowerPoint, Excel and Outlook);
  • Knowledge of SAP and Kronos, an asset;
  • Proficiency in English and French (written and oral).
