What will you do?

Provides administrative support to the Engineering department.

Responsibilities:

  • Responsible for processing and tracking expenditures within for the department.

  • Ensures that Purchase Orders (POs) are processed to align within the monthly Engineering budgets.

  • Creates Purchase Order Requisitions:

    • Ensures accuracy of cost centres and GL codes.

    • Ensures approval flow is correct

    • Manages hardcopy originals

    • Ensures electronic copies of the POs are filed appropriately

    • Updates financial expense tracking log

    • Facilitate Vendor set-up as required

  • Performs first pass invoice review

    • Verifies correct PO number, Cost Centre and amount of PO.

    • Verifies accuracy of invoice as per the original quote.

    • Processes for review in system

    • Monitors invoices on blanket Pos as required

  • CAR Submission Entry and Approval Monitoring/Follow-up

  • Generates reports from SAP to monitor expenditures.

  • Manages and organizes Capital Project Files within Shared Drives and Physical Libraries

  • Generates weekly Capital Project Spend/Committed Reports

    • Orders general office supplies.

    • Works on any additional projects as assigned

How will you get there?

Requirements


Education:

  • High school diploma/General Educational Development (GED) Certificate is required

Experience:

  • Experience in Microsoft Office Applications required

  • Experience in Manufacturing or Engineering environment preferred.

  • Prior SAP knowledge/experience preferred

  • Experience in the pharmaceutical industry an asset.

  • Exposure to databases (Ariba, Catalyst etc.) an asset.
