The role of the Executive Assistant is to provide administrative and project management support for a member of Deloitte’s Executive Leadership Team. The successful candidate will work alongside the Chief Culture & People Officer to provide superior administrative support. The selected candidate will be detail-oriented, anticipatory, highly organized and able to work independently in a fast-paced environment, all the while demonstrating discretion and the ability to manage confidential information. This position will be based in Toronto.

Responsibilities will include:

  • Proactively manage senior team members’ schedules, including coordinating with client and business-related activities with minimal input and direction
  • Anticipate and support the team within an agile workplace, including location and reservation of appropriate space and other required resources
  • Travel management
  • Expense and time reporting
  • Assemble, format and proofread executive presentations and briefing materials
  • Research options and source corporate gifts
  • Identify requirements for meetings and events, and arrange appropriate support, including researching venues, securing reservations, determining menus—all requiring an elevated attention to detail
  • Anticipate business and client-service needs, demonstrating resourcefulness and out-of-the-box thinking
  • Work collaboratively, leveraging appropriate firm resources to manage, own and streamline administrative tasks
  • Coordinate and attend internal/external meetings as requested to document action items for independent follow up
  • Other duties as required

Qualifications:

  • The successful candidate will have the following:
  • Minimum 5 years' experience supporting multiple executives in a professional, fast-paced and deadline-driven environment
  • Exceptional commitment to client service and continuous improvement
  • Ability to deal with highly confidential information; diplomacy and discretion are essential in this role
  • Demonstrated ability to prioritize tasks based on relative importance and urgency
  • Ability to work with minimal supervision and direction
  • Excellent verbal and written communication skills; bilingualism (French and English), written and spoken, is an asset
  • Elevated attention to detail
  • Effective decision-making ability
  • Confident communication and active listening skills are critical
  • Excellent interpersonal skills and a demonstrated ability to build effective relationships and work collaboratively in a team environment
  • Demonstrated enthusiasm for continuous learning relevant to the role
  • Advanced knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Flexibility to work overtime (including evenings, weekends), if required
