Position: Executive Assistant
Location: Toronto General Hospital

Reports to: VP HR and Chief Human Resources, and EVP Clinical Support and Performance Corporate
Hours: 37.5 HOURS/WEEK
Status: PERMANENT FULL TIME

Reporting to both the VP HR and Chief Human Resources, and EVP Clinical Support and Performance Corporate, the Executive Assistant exercises considerable judgment and independence to provide complex administrative support services including: coordinating and maintaining written and/or electronic calendar/ utilizing advanced functions for database management and word processing/typing services to facilitate the production of complex documents/materials (i.e. minute-taking, presentations, spreadsheets); coordinating, organizing or planning meetings/events; organizing various ongoing processes; managing human resources processing; ensuring efficient operation of the office; developing, organizing and maintaining electronic and paper information filing/retrieval methods, systems or formats; performing clerical support functions; performing committee meeting responsibilities, as required; coordinating regular payroll submissions through the institutionally-administered system; performing other duties consistent with the job classification, as assigned.

  • Completion of a recognized business post-secondary program at the diploma or degree level, or recognized equivalent
  • Ten (10) years related administrative support experience
  • Excellent organizational and time management skills
  • Excellent verbal and written communication skills and may be asked to compose or edit letters, documents, and agendas
  • Excellent interpersonal and customer service skills
  • May be asked to support UHN-wide committees
  • Ability to produce professional meeting minutes
  • Skilled use of Powerpoint, Word, Excel. Other software applications are an asset
  • Able to provide consolidated budget support for Portfolio
  • Experience with organizing high profile onsite and offsite events
  • Understands digital and virtual meeting formats and demonstrated IT competencies
  • Ability to produce high quality work in accordance with Hospital standards
  • Ability to work well under pressure and use good judgment in assessing difficult situations
  • Ability to maintain confidentiality
  • Comprehensive knowledge of organizational/office practices, procedures and standards
  • Previous on-the job computer/word-processing, database and spreadsheet software experience, in a Microsoft Office environment, including Excel, Word, PowerPoint, Outlook, Adobe, and internet searches
