Job Summary:

As an integral member of the Planning and Integration Team, and under the direction of the Senior Director, Planning & Integration; with responsibilities to the Vice President, FM-PRO; and Senior Director, Redevelopment; the Administrative Coordinator will coordinate all activities related to Capital Projects.

The successful candidate will be responsible for organizing all Capital Project activities; performing administrative responsibilities to ensure the efficient and effective execution of the Capital Projects; performing cross-functional and other duties consistent with the job classification as assigned or requested by the FM-PRO Senior Management Team.

Excellent organizational and time management skills are essential to this role. The ideal candidate must have extensive knowledge of the MS Office applications (Outlook, Word, Excel and PowerPoint); have a well-honed ability to take initiative, and work well with a wide range of internal and external stakeholders. The ideal candidate will be professional, insightful, tactful and able to focus on the priorities of a rapidly changing priorities.

Qualifications:

  • Minimum of a two (2) year Diploma in Business Administration or Office Administration, from an accredited college or university.
  • Minimum of five (5) years’ experience working in a senior administrative support role, preferably in a health care environment.
  • Demonstrated superior interpersonal and communication skills, both written and verbal.
  • Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities/deadlines Strong organizational skills required.
  • Demonstrated accuracy in taking meeting minutes, identifying decisions, action items and next steps.
  • Effective conflict-management skills required.
  • Proven ability to work independently and in a team environment.
  • High proficiency in conducting research, compiling information and maintaining records.
  • Experience working in hospital an asset.
  • Experience with MS Project an asset.
