The Administrative Assistant works from the Thunder Bay office and is responsible for the timely scheduling of guards and assignments; ensuring client satisfaction and operational success by meeting assigned KPI’s including managing overtime and open hours; recruiting best in class resources and ensuring a full staff compliment for all accounts; branch office administration; operational support for Mobile Supervisors and Account Management team.

What does a Administrative Assistant in Thunder Bay do?

  • Provide general support to visitors
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc
  • Order office supplies and Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
  • Develop and maintain a filing system
  • Assist in the preparation of regularly scheduled reports
  • Produce and distribute correspondence memos, letters, faxes and forms
  • Answer and direct phone calls
  • Generating credits, cancellation and rebills
  • Creating manual invoices for customers with special requirements
  • Coordinating billing for services rendered and attaching required reports/backup
  • Processing account payables/receivables for the branch
  • Scheduling staff and entering pay adjustments
  • Performing union transfers, manual programming and reconciliation for statutory holidays

Qualifications to become a Administrative Assistant in Thunder Bay ?

  • The Administrative Assistant will be required to be proficient in GardaWorld operating procedures including Office 365, Scheduling Software and be able to produce reports as associated with the current platforms.
  • Understand CBA protocols and procedures, H&S and Business Management manuals
  • Excellent deportment and communication skills
  • Be flexible in working off hours as required
  • Must be an organized self-starter
  • Able to work unsupervised in a fast-paced and stressful environment
