The Port Hope Area Initiative (PHAI) is a federal initiative to clean-up low-level radioactive waste situated in the Municipality of Port Hope and the Municipality of Clarington. The project involves remediating a large number of contaminated sites to establish clean-up criteria and consolidating the wastes in a new engineered mound (one in each community).
The newly expanded Small Scale Sites Remediation team requires three Project Clerks to support the very demanding paper and process flow requirements within each bucket - Characterization & Design, Support and Small Scale Sites Remediation – of the department. These positions will work under the direction of their respective leads, with overall accountability and direction coming from the Manager, Small Scale Sites Remediation.
The Clerk will be required to prepare documents, track and transmit documents both internally and externally with project stakeholders and maintain the paper flow and process of literally tens of thousands of pieces of paper and communication.
Interacts directly with the Project Delivery Team and other contributing parties involved in the development, tracking, retention and reporting of project documents.
Assists with the mail out of letters to property owners.
Knowledgeable in implementing CNL document numbering system for branch documents and records.
Assists in document tracking, producing spreadsheets and reporting on findings/results.
Maintains documentation in accordance with CNL and CNSC licensing requirements.
Takes and prepares minutes of meetings and distributes to attendees for review and comment.
Books conference rooms; arranges meetings (including tele/video conferencing) and catering; performs photocopying/scanning; sends/receives faxes, and escorts visitors.
Completes other duties as assigned.
Secondary School Graduation plus post-secondary training in Office Administration or other applicable program, and a minimum of 2 to 4 years related experience or the equivalent.
Excellent interpersonal, written and oral communication skills are essential, as well as good planning skills and a highly organized approach to work.
Demonstrated ability to use tact, diplomacy, trust and discretion in handling of sensitive and confidential information.
Advanced knowledge of Microsoft Office Products (Word, Outlook, PowerPoint, Excel) is required, and familiarity with TRAK/Action Tracking would be an asset.
Ability to learn and adapt to software and technical changes.
Must possess excellent business/administrative skills and have demonstrated the ability to quickly learn and utilize new applications that support business operations.
Demonstrated ability to comprehend and relay information concisely and accurately, and to work with minimum supervision in an environment requiring initiative and the ability to work effectively with all levels of personnel.
Must have the ability to work, plan and prepare own work schedule; develop, measure and assess goals; manage time, all under demanding and diverse situations.
Good judgment, initiative, strong drive, positive attitude and consistent, careful attention to detail are essential to solve problems and obtain and analyze data.
