MD is seeking an Executive Assistant responsible and accountable for the coordination, organization, and support for the President and CEO, and the Executive Leadership Team (ELT). You are a strategic, autonomous and highly competent Executive Assistant with ideally, prior experience supporting a C-level executive and team.

What You Will Do:

  • Serves as the primary point of contact for the CEO, organizing and coordinating external and internal relations and overseeing special projects for the CEO
  • Acts as liaison with internal and external contacts on behalf of the President and CEO, and the ELT
  • Coordinates information and communications flowing in and out of business area; uses own judgement and initiative in confirming, responding to requests for information
  • Coordinates meetings and agendas
  • Prepares travel bookings and arrangements; completes travel expenses as required
  • Prioritizes work flow and proactively assists ELT as needed
  • Formats presentations, proposals and documentation
  • Receives incoming mail and reviews for content and urgency of action and highlights accordingly
  • Creates and maintains confidential filing systems
  • Creates and manages contacts directories in Outlook, enabling quick and easy access

What You Bring:

  • Diploma in Post-Secondary Business/Administration or equivalent combination of education and experience
  • Proficient in the use of Microsoft Windows and its applications including Excel, Word, PowerPoint, and MS Outlook
  • 5+ years administrative experience working with increasing responsibilities

  • Detail oriented, client-focused
  • Bilingualism is preferred
