Our client

One of Canada's architectural and manufacturing industry leaders is looking for an Admin Assistant to join their team. A company that believes in work/life balance, promotion from within and recognizing top performers etc.

This key role is essential to ensuring smooth and efficient operations of the company. As an Administrative Assistant you will assist, primarily, by supporting the Company’s owner and Accountant.

The preferred hours of work for this position are 9:00 a.m. - 5:00 p.m., Monday to Friday.

Responsibilities

  • Assisting management of calendars, setting up meetings
  • Acting as the point of contact for our employees and distributing correspondence
  • Developing and maintaining the firm’s filing system
  • Coordinating team meetings (minutes) on a weekly basis
  • Managing CRA correspondence and contact information associated with each audit
  • Completing utilization reports for staff efficiency
  • Billing and collection
  • Completing A/R reports and following up with clients after 30 days by email and phone
  • Assisting with coordination of the receipt of client preliminary information and deliverables
  • Coordinating annual meetings

Skills/Experience

  • Outstanding organization and time-management skills
  • Experience working as an administrative assistant or similar role
  • Proficient using Microsoft Office Suite
  • Polished and professional communication skills, both verbal and written
  • The ability to be discreet and maintain confidentiality
  • Basic accounting background is preferred
  • High School Diploma
