Join the Environmental Health and Safety (EHS) team at the University of Guelph, in a multi-faceted administrative role where your communication and organization skills will shine.

Reporting to the Director of Health, Safety & Wellness, you will provide consistent, quality administrative and financial support to the Director and the Environmental Health and Safety department, anticipating the administrative support needs of the group while taking the initiative to optimize the effectiveness and efficiency of the group’s administrative processes. Specifically, you will ensure that the EHS website is kept current according to ongoing departmental activities, including managing enrolment and records for online courses, making updates to existing policies, programs and procedures, and ensuring Accessibility for Ontarians with Disabilities Act (AODA) compliance.

As an EHS Associate, you will also:

  • schedule and organize training, including preparing and distributing training certificates;
  • ensure that EHS databases are maintained, records are consistent and user inquiries are resolved in a timely manner;
  • advise the Director on the departmental budget, forecasts, and expense management;
  • produce reports for internal use and external agencies;
  • prepare and process purchase orders;
  • assist in coordinating the radiation dosimetry program;
  • compile department metrics and develop design briefs and dashboards; and
  • assist with emerging projects in support of the EHS disciplines.

Supporting EHS-related committees will be another key aspect of your role, and include scheduling of meetings and inspections, minute-taking, distribution of related documents, and supporting the department’s health, safety, injury prevention, regulatory compliance, and training initiatives.

QUALIFICATIONS

To fulfill the role of Associate, Environmental, Health & Safety, you must be a tactful, detail-oriented professional with a profile that includes:

  • A two-year community college diploma plus demonstrated, related administrative experience, or an equivalent combination of education and experience;
  • Knowledge of budget monitoring and basic accounting skills;
  • Demonstrated expertise in Microsoft Office programs (Outlook, Word, Excel, PowerPoint, Teams, One Drive, SharePoint, Visio).
  • Proficiency using databases, with an understanding of database structure;
  • Capabilities using social media (i.e., Twitter);
  • Excellent communication, organization, and time management skills, with the ability to handle multiple tasks and meet deadlines;
  • Attention to accuracy and detail, tact, professionalism, diplomacy and ability to maintain high levels of confidentiality with regards to sensitive matters.

ASSETS:

  • Knowledge of Graphic Design, Courselink, WebEx, Zoom, Qualtrics and Drupal or similar software;
  • Basic database programming capabilities (i.e. Access).
