The opportunity:

The Confidential Assistant is part of the senior management team of the Faculty of Social Work, providing executive support to the Dean of Social Work, as well as ensuring the effective day-to-day operation of the general office and the efficient use of human resources.  This person will act as a receptionist to the Dean by receiving visitors, scheduling appointments, and communicating effectively with students, the public, agencies, and University staff.  This position is responsible for coordinating numerous complex Faculty processes including but not limited to faculty searches, tenure and promotion cases and study leaves

The qualifications and experience we’re looking for:

  • Three years directly related University administrative experience required.
  • Thorough and working knowledge of academic, student and research related policies and procedures.
  • Intermediate experience using computer programs such as Microsoft Office applications such as Word, Excel, Access, PowerPoint, and Outlook.
  • Experience using Ad Astra, JUMP, Aurora Student, Self Service are required.
  • Experience with Concur, VIP or EPIC an asset.
  • Excellent oral, written, and communication skills is a must.
  • Knowledge and proficiency in completing university forms is required.
  • Promote good working relationships with staff, students, and the public.
  • Provide good problem-solving and good organizational skills.
  • Demonstrated leadership and supervisory skills are required.
  • Able to exercise independent judgement and carry out duties in a professional manner.
  • Able to take initiative to create an organized and efficient office.
  • Must possess a high degree of integrity, professionalism and sensitivity to cultural differences, compassion, and empathy.
  • Must be able to communicate effectively with staff, students, and the public and to maintain confidentiality.
  • Must be able to work as a part of a team.
  • Must be task oriented and able to work toward goals under time constraints with frequent interruptions. Able to provide effective assistance to staff, students, and members of the community.
  • Must possess good interpersonal skills.
  • Must be sensitive, respectful, and responsive to all requests from faculty, staff, students, and other department members.
  • Must deal with all personnel in a timely and professional manner.
  • Satisfactory work record, including satisfactory attendance and punctuality, is required
