Title: Administration Coordinator
Department: Administration
Reports to: General Manager

SUMMARY OF RESPONSIBILITIES:

The Administration Coordinator works with the General Manager to support the overall successful operation of Mt Seymour Resorts and Sea to Sky Parks Services through a range of administrative activities.

RESPONSIBILITIES:

  • Works with the General Manager to respond to and action all incoming emails and correspondence.
  • Provides ongoing administrative support to the General Manager in areas such as production of letters, memos, policies and other communication pieces, including proofreading and distribution.
  • Participates in daily briefing sessions with the General Manager to coordinate the day's activities.
  • Generates, maintains and updates a database of standard letters, forms and documents which are to be used within the Executive Office.
  • Assists with writing, researching, formatting, editing, and assembling AOP's and RFP's
  • Responds to general enquires.
  • Overseas incoming and outgoing mail and courier services.
  • Works with the General Manager to schedule and manage meetings and appointments including attending some appointments in their place.
  • Set up, attend and participate in meetings, take meeting minutes and circulate as required - follow up with action points.
  • Maintains an efficient filing system, which facilitates the quick retrieval of information.
  • Oversees ordering of office supplies and PPE.
  • Works with the General Manager on Mt Seymour and Sea to Sky Parks operational planning
  • Works with the General Manager on Mt Seymour's strategic planning
  • Works with the General Manager on Mt Seymour's master plan and special projects.
  • Takes ownership of some identified special projects as needed, carrying out research, conducting meetings and following up to ensure the project is moving forward according to established timelines.
  • Establish a relationship and work with CWSAA and the Society of Park Operators.
  • Establish and maintain working relationships/ongoing communications with BC Parks and other Government and Community Stakeholders.
  • Work with IT to create greater efficiencies in communications, scheduling and improved administrative efficiency.
  • Maintain and monitor telecommunications (cellular phones, Versature phone system and other telecommunications as required) contracts.
  • Ensure the operation of the General Manager's Office in their absence.
  • Other duties as required

WHAT WE REQUIRE FROM YOU:

  • Grade 12 graduation combined with College or University degree/credits in a related discipline
  • Strong administration and typing skills (60wpm).
  • Good communication and interpersonal skills.
  • Strong organizational abilities.
  • Strong team player.
  • Ability to work efficiently under pressure and adhere to deadlines.
  • The ability to work independently.
  • Knowledge of the winter recreation industry an asset.
  • Own transportation

TERMS OF EMPLOYMENT:

  • Full-time year round, salaried position
  • $52,000-$58,000/year (dependent on experience)
