GENERAL DESCRIPTION OF THE POSITION                                                                

The incumbent will provide administrative and operational support essentially to the Chief Executive Officer (CEO) as well as perform general clerical duties. He/she will have to demonstrate a high level of initiative and autonomy.

JOB RESPONSIBILITIES                                         

  • Provide administrative and operational support to the CEO;
  • Manage the agenda and schedules of the CEO on a daily basis;
  • Confirm all appointments and prepare/gather all required supporting documents;
  • Review and answer when required e-mails and provide assistance in correspondence;
  • Answer and transfer the calls;
  • Manage and coordinate all traveling activities such as hotel reservations, transportation arrangements, etc.;
  • Prepare reports, presentations, documents and letters in Word, Excel and PowerPoint when necessary;
  • Write and proofread documents (letters, reports, tables, datasheets, etc.);
  • Translate documents from time to time (English/French);
  • Prepare all expense reports for the CEO;
  • Ensure all files and administrative tools are updated on a regular basis;
  • Execute data entry and maintain the organization's databases, ensuring a high level of accuracy;
  • Coordinate all internal and client events and assist with the preparation;
  • Coordinate meetings, including equipment, conference rooms, food, etc.;
  • Assist with the preparation and the timely distribution of material;
  • Perform any other administrative tasks for the CEO.


  • College diploma in bureautics;
  • 5 to 7 years of experience in a similar position;
  • Organized, creative and ability to multi-task;
  • Energy, enthusiasm and a professional demeanor are a must;
  • Exceptional organizational and time management skills;
  • Flexible and able to manage shifting priorities;
  • Excellent communication skills;
  • Fluently bilingual in English and French;
  • Proficient in MS Office Suite.
